Record club income and expenses

Keep the club ledger in e.Vernetzt: add an income or expense with a category and a date, edit or delete one later, and why the balance is never a number you type.

The ledger is the club’s record of what came in and what went out. Kept up as you go, it means a handover never starts with hunting for a spreadsheet.

The ledger is reachable by owners and admins. Other roles are not shown the shelf that leads to it.

Open the ledger

  1. Open the club from the navigation drawer.
  2. Find the Club Finances section and tap See ledger.

You land on the balance, a six-month income-against-expenses chart, and the list of transactions grouped by date. The All / Income / Expenses tabs filter the list you already have — they do not fetch anything, so they are instant.

Add a transaction

  1. Tap the + button.
  2. Choose whether this is income or an expense.
  3. Enter the amount.
  4. Pick a category — dues, sponsorship, equipment, pitch hire, and so on.
  5. Set the date it actually happened, which is not necessarily today.
  6. Add a note. There is no separate title field: the note is used as the title when you write one, and the category’s name is used when you do not.
  7. Save.

You can also start this from the club home screen’s + menu, under New transaction.

Edit or delete one

Tap any transaction in the list to open it, change what needs changing and save. Delete is on the same screen.

One limitation worth knowing: the edit screen reads the transaction from the list you are already looking at. It works from the ledger, which is the only way in — but it means you cannot link somebody straight to a single transaction.

Where the balance comes from

The balance, the period’s totals and the chart are all calculated from the transactions themselves, on the server, every time you open the ledger. You never adjust them, and there is no separate running-total field to get out of step.

That is also why the numbers refresh after you add something: the app throws away what it had and asks again rather than doing the arithmetic locally and hoping it matches.

Notes

  • Donations do not appear on their own. If your club publishes a PayPal link, the money goes to PayPal and nothing comes back into the app. Record those as income by hand if you want them in the ledger.
  • Trainer earnings are a separate record. What a trainer logs for a session is not a ledger transaction and does not show up here. See Log a trainer earning.
