When somebody scans your club’s QR code, their request lands in front of you. Nobody gets into a club without an owner or an admin saying yes.
You need the owner or admin role in the club to see the approval queue. Other roles never see it, and it has no data to show them.
Approve someone
- Open the club from the navigation drawer.
- Near the top of the club home screen, find Needs Your Approval. It only appears when there is at least one pending request.
- Optionally, tap the applicant’s name or avatar first — that opens their detail, where you can see and set their role and groups before letting them in.
- Tap Approve.
It takes effect immediately, with no confirmation step. The new member stays visible and editable under Manage members afterwards, so nothing about approving is hard to walk back.
Reject someone
Tap Reject and confirm the dialog. Read the confirmation before you tap it — this one really is different from approving.
Rejecting does not delete the request. It sets the membership to rejected and leaves the record in place, which has two consequences:
- The applicant cannot send another request for your club. Their next attempt is refused as a duplicate.
- They are not told why, because the app has nowhere to show them a reason.
So reject the requests you are sure about. If somebody applied by mistake, or you change your mind later, open them under Manage members and remove them from the club entirely — that clears the record and lets them apply again.
Approving from the feed instead
A join request also posts a membership entry to the club feed. Opening that post gives you the same Approve and Reject actions, which is often quicker if you are already reading the feed.
After you approve
The new member’s app may not show the club straight away. Memberships travel inside their sign-in token, so their phone needs a fresh one before it knows anything changed. They can tap Sync account on the waiting card, or pull down to refresh. Nothing is wrong — it just has not caught up yet.
